1. Our Position

​

Dee Bee Talent Management takes the protection of children’s images, videos and recorded media extremely seriously.

Photographs, videos and digital recordings of children are considered personal and sensitive data. We recognise our responsibility to ensure that all such material is handled with the highest level of care, security and accountability.

There is no casual use of children’s images within Dee Bee Talent Management.

2. Consent

​

• Written parental or legal guardian consent is required before any image or video of a child is taken, stored, shared or used

• Consent must be specific, informed and time-limited

• Parents have the right to withdraw consent at any time

No images or footage will be used outside of the agreed purpose.

3. Purpose Limitation

​

Children’s images and videos may only be used for:

• Casting submissions

• Auditions and self-tapes

• Professional representation purposes explicitly agreed with parents

​

Images and footage are never used for:

• Personal promotion without consent

• Unapproved marketing

• Informal or social sharing

• Any purpose outside of professional representation

4. Storage & Security

​

All digital media is:

• Stored securely on password-protected devices and platforms

• Accessed only by authorised individuals

• Never stored on shared, public or unsecured systems

Physical and digital safeguards are in place to prevent unauthorised access, duplication or misuse.

5. Sharing & Distribution

• Images and videos are shared only with verified industry professionals where relevant

• Content is shared on a need-to-know basis only

• Files are not forwarded, reused or repurposed without renewed consent

We do not permit onward sharing of children’s images beyond the original agreed recipient.

6. Social Media & Online Platforms

• Children are never required to maintain a social media presence

• Dee Bee Talent Management does not post images or videos of children on social media without explicit, written consent

• No identifying information is shared alongside any image

Private messaging, tagging or informal online engagement involving children is strictly prohibited.

7. Filming, Photography & Auditions

• Children must be supervised by a parent or carer during filming or self-taping

• Clear guidance is provided to families for safe and appropriate recording

• No recordings should take place in private or inappropriate settings

All filming must maintain the child’s dignity, comfort and safety at all times.

8. Retention & Deletion

• Images and videos are retained only for as long as necessary

• Content is deleted securely when no longer required

• Parents may request removal or deletion of content at any time

There is no indefinite storage of children’s media.

9. Prohibited Use

The following are strictly prohibited:

• Personal storage of children’s images on private devices

• Sharing images via personal messaging apps without consent

• Screenshotting, screen-recording or copying files without authorisation

• Any use that compromises a child’s safety, privacy or dignity

Breaches of this policy are treated as serious safeguarding concerns.

10. Accountability & Breach Response

Any suspected misuse, breach or concern relating to children’s images or videos must be reported immediately to the Designated Safeguarding Lead.

Appropriate action will be taken, which may include:

• Immediate removal of access

• Internal investigation

• Reporting to relevant authorities

11. Commitment

Dee Bee Talent Management is committed to protecting children not only in person, but digitally and online. We believe safeguarding extends beyond physical spaces and into every image, video and digital interaction involving a child.

This policy is reviewed annually and updated in line with best practice and safeguarding standards.
